Corporate Events implemented two large-scale events for Securities and Exchange Board of India.  First, was SEBI/OECD Asian Seminar held on Feb 3-5, at The Lalit Mumbai. The seminar highlighted key developments and challenges facing financial protection and education in the region.

According to Deepa Vaity, Marketing Manager - M.I.C.E, Corporate Events, “SEBI/OECD Asian Seminar was a 7-agency pitch that Corporate Events won on technical and financial bid.”

The event covered various elements, including stage, lights, sound, AV, creative collaterals, gifts for guests and speakers, database management of various international delegates attending the conference and so on.

On the seminar’s brief, Deepa says, “We had to follow all elements given in Request For Proposal (RFP). But just 4 days before event – 2 different setups also became part of the event. One networking dinner and another board room meeting. Entertainment artists were also suggested by us.”

While discussing the event challenges, Deepa shares, “The challenges were manifold, but managed in every way possible. SEBI gave approvals for almost all collaterals, gift procurement, customized promotional materials, entertainment artists, only 3-4 days prior to the event date. The creative designs were also approved only 3 days prior to event date. Thus, our team had to work day night to meet production timelines, invest double manpower and resources to make sure quality is not compromised and we have required outputs before the event date. We managed to procure and have best of the quality products before the event date. The whole event was executed flawlessly. My team spent 2-3 days in office working day night without fail and yet we were all fresh on the set. Smiling faces all over the event without complaints gave our clients all the more confidence in us.”

On Feb 3, the seminar started with a networking dinner in the evening. Feb 4 had a full-day conference-cum-seminar, which was followed by a welcome dinner for the attendees. Whereas, Feb 5 was a half-day conference, followed by a round table meeting in the evening.

Detailing the seminar’s setup, Deepa, said, “Conferences had 2 AV screens with center backdrop stage. There were speakers from various international cities (almost 45 speakers) who spoke on various topics. The head table on the stage had 10 panelists from India and various other nations. So the most challenging part here was managing 45 speakers with their presentations/ videos/ etc. For the said event that kept changing every 30 mins for 2 consecutive  days, our team had to be very careful with different speakers who also interacted with audience – asked them questions, suggestions, etc. Time management was of essence and we kept a close watch on each of the speakers allotted time.”

Simultaneously, Corporate Events also handled the SEBI – IOSCO – NISM on the same dates at 3 different locations of Maharashtra including completely turning an unfinished building into a venue for a classy conference.  Concludes Deepa, “These events were held on February 3-4, one each in Patalganga, Fortune Select Vashi and  Four Points by Sheraton Vashi and had delegates from over 15 countries.”

All elements of the event were managed by Corporate Events – be it creatives, collaterals, gifting, printing or artistes.
